Privacy Policy

Notice: This document is a basic, good-faith summary of how SubMed handles personal information. It is not legal advice. Please review with your own attorney before relying on it. Material changes will be announced on this page.

1. Who we are

SubMed.org ("SubMed", "we", "us") operates an online marketplace where healthcare professionals can list, browse, and arrange short-term subleases of medical office space.

2. Information we collect

We collect only the information we need to run SubMed:

  • Account information you provide when you sign up: name, email, password (stored hashed), and optionally a Google account ID if you sign in with Google.
  • Listing information you upload, including titles, descriptions, photos, amenities, pricing, available dates, city, neighborhood, and any other details you choose to share.
  • Messages you send through SubMed to other users, so that we can deliver them and store conversation history.
  • Mailing list signups from forms on the homepage or the space appraisal tool. We store your email, optional name and city, and the source of the signup.
  • Usage information such as IP address, browser type, pages visited, and timestamps, collected through standard web server logs and lightweight analytics so we can understand how SubMed is used and keep it secure.

We do not ask for, collect, or process any patient data or protected health information (PHI). Please do not include PHI in listings or messages.

3. How we use information

We use the information described above to:

  • provide and maintain the Service, including authentication, search, and messaging;
  • send transactional emails such as confirmations, password resets, and notifications about your listings or messages;
  • send occasional product updates, new-listing announcements, or marketing emails to people who have subscribed to our mailing list (you can opt out at any time);
  • investigate abuse, enforce our Terms, and comply with legal obligations;
  • improve the Service through aggregate analytics.

4. How we share information

We share information only as needed to run SubMed:

  • With other users: listing details, your display name, and the contents of messages you send are visible to the recipient. Public listings are visible to anyone visiting the site.
  • With service providers that help us host the site, deliver email, geocode addresses, and analyze traffic. These providers can only use the information to perform services for us.
  • For legal reasons: if required by law or to protect the rights, property, or safety of SubMed, our users, or the public.

We do not sell your personal information.

5. Cookies

SubMed uses cookies that are strictly necessary for sign-in sessions and security (CSRF protection). We also use a small amount of analytics to count visits and pages. You can clear cookies at any time in your browser settings; clearing them will sign you out.

6. Your choices

  • Edit or delete your account: from your profile page or by emailing us at support@submed.org.
  • Archive a listing: from the listing's edit page to hide it from the marketplace without losing it.
  • Unsubscribe from marketing emails: use the link at the bottom of any marketing email, or email support@submed.org. Transactional emails (e.g. message notifications, password resets) cannot be turned off while your account is active.

7. Data retention and security

We retain account, listing, and message data for as long as your account is active or as needed to provide the Service. Archived listings and old conversations remain in our database in case you ask us to restore them; you can request permanent deletion at any time. We use industry-standard safeguards, including encrypted transport (HTTPS) and hashed passwords, but no system can be 100% secure.

8. Children

SubMed is not intended for anyone under 18. We do not knowingly collect personal information from children.

9. International users

SubMed is operated from the United States. By using the Service you understand that your information will be processed in the United States, which may have different data-protection rules than your country of residence.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do we'll change the "Last updated" date above. If the changes are material we'll also try to notify you through the Service or by email.
